Documentation before approval, not after
Organisations frequently need to review a Certificate of Analysis before a purchase is approved rather than discover it in the parcel. COAs can be supplied ahead of dispatch for the batch that would actually ship — which is the part that matters, since a certificate for a different batch answers nothing.
Batch consistency across a programme
Where research runs over months, changing batch mid-study introduces a variable that is difficult to unpick afterwards. Where one batch can cover a known requirement, reserving against it removes that variable; where it cannot, knowing in advance that a change is coming is far more useful than finding out from a certificate later.
Local requirements still apply
Beyond anything a supplier does, universities and research organisations impose their own requirements — approvals, storage arrangements, records. Those are additional to the legal position, not a substitute for it, and they are the buyer's to satisfy.
